Last updated 8 October 2026

AirFone is a product of Ninja Infosys LLC, 1500 N Grant St, Ste R, Denver, CO 80203, US. It answers phone calls and WhatsApp messages for businesses with an AI assistant, connects callers to the right person, and gives the business its calls, messages and recordings in one app. This policy explains what we collect when you use the AirFone app or website, why, who we share it with, how long we keep it, and what you can do about it.

Questions about this policy: info@airfone.app.

1What we collect

  • Your account: your name, email address, password (stored only as a secure hash), and your Google account ID if you sign in with Google. A phone number, if you add one.
  • Your business: its name and type, the people in it and their roles, and what you teach the assistant: opening hours, prices, services, documents, photos and website pages you add.
  • Calls and messages: the phone numbers of callers and of the people you call, when calls happen and how long they last, what the assistant said and did, voicemails, chat messages, and, where the business has turned recording on, call recordings and their transcripts and summaries.
  • Your devices: push notification tokens, the app version and device type, and network addresses we use to keep accounts secure.
  • Payments: your wallet balance and transactions. Card and wallet details are entered with the payment provider, not stored by us.
  • The waitlist: before launch, the mobile number, optional email, business type, page and language you gave us when joining.

2How we use it

We do not sell personal information and we do not use it for advertising.

  • To answer, route, record and transcribe calls as your business has set up, and to show you what happened.
  • To run your account: signing in, sending verification and password-reset codes, and notifications.
  • To bill for calls, numbers and AI use, and to keep payment records.
  • To keep the service secure, stop abuse and fix problems.
  • To reply when you contact us.

3How the AI assistant handles calls

When the assistant answers a call, the caller’s voice is turned into text, the text and the business’s own knowledge are sent to an AI model to write the reply, and the reply is turned back into speech. This happens while the call is live. We send these providers only what is needed to answer that call.

The assistant can make mistakes. Businesses should check what it knows and what it tells callers.

4WhatsApp messages

A business can connect its WhatsApp Business number to AirFone. When a customer messages that number, we receive the message through Meta's WhatsApp Business Platform and process it on the business's behalf.

  • What we receive: the customer's WhatsApp phone number and profile name, the messages, photos, voice notes, documents and reactions they send, and delivery and read receipts for messages the business sends.
  • How we use it: to show the conversation to the business in AirFone so its team can read and reply, and, if the business turns it on, to let the AI assistant answer the customer from what the business has taught it. The assistant can be switched off for a number or for one conversation.
  • Who it goes to: messages are sent and received through Meta (WhatsApp). Text the assistant answers is sent to the AI model provider listed below, only to write that reply. We do not use WhatsApp data for advertising and do not sell it.
  • How long we keep it: for as long as the business keeps the conversation or its AirFone account. A business can delete a contact and their conversation in the app; a customer can ask the business, or us at ${mail}, to delete their messages.

5Who we share it with

We use trusted service providers to run AirFone. They process information only on our behalf, under contracts and their own security practices. The kinds of providers we use are:

  • Cloud hosting and storage providers: running our servers and storing recordings, files and backups, with network protection.
  • Messaging platforms: the WhatsApp Business Platform, to send and receive WhatsApp messages for businesses that connect a number.
  • AI and speech providers: understanding callers, writing replies, turning speech into text and text into speech.
  • Sign-in and notification services: signing in with an existing account and sending app notifications.
  • Payment providers: taking payments by card and through Nepali payment services.
  • Phone carriers: connecting calls to and from phone numbers.

6Callers to a business

If you call a business that uses AirFone, that business decides how your call is handled and is responsible for its records of it. AirFone handles the call on the business’s behalf. To ask about your call, contact the business; we will help them respond.

7Where it is stored

Information is stored on our servers and with the providers above, some of which are outside Nepal.

8How long we keep it

  • Your account and your business’s information: until you delete them.
  • Payment, wallet and invoice records: 7 years, for accounting and tax.
  • Backups: overwritten within 30 days.
  • Waitlist entries: until launch, or until you ask us to remove you.

  • Ask for a copy of your information, or to correct it, by writing to info@airfone.app.
  • Turn call recording on or off, and set how long recordings are kept, in the app.

10Security

Information is encrypted in transit, passwords are stored only as hashes, and access to production systems is limited to the people who run them. No system is perfectly secure; tell us at once if you think your account has been misused.
